How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
To communicate with us regarding our services for a project (via email, telephone, social media or our website contact form).
To draw up a Professional Services Contract which forms the basis of our contractual working relationship with you.
If requested, to process a refund for a service we have provided or a product we have sourced.
We also receive personal information indirectly, from the following sources in the following scenarios:
Stats from Instagram, Facebook and Pinterest from posts, stories or any advertising campaigns.
Website stats via Square Space in order to inform targeted marketing strategies.
We use the information that you have given us in order to:
Draw up relevant contracts and service agreements
Communicate with you (i.e. via phone, messaging platforms, email or video call)
Access information about the property you have instructed us to work on
Acquire accurate quotations from contractors, trades and suppliers
Populate and store all project related documents and information
Issue invoices via our accounting software (Quickbooks)
We may share this information with third party suppliers, trade contacts, our insurance company and / or legal team in relation to the services we are carrying out for you.
Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information is:
We have a contractual obligation.
We need to collect and use your personal information to provide a quotation for our services based on your brief, and then to deliver a contractual service to you.
We will also need to collect bank details from you in order to process any payments to you e.g. a refund for any products or services we have provided.
How we store your personal information
Your information is securely stored.
We will keep your personal information (e.g. name, address and contact details) for the duration of your contract with us or up until the project in question is completed. It will then be archived for a period of three years for snagging/warranty related reasons, and for accounting / tax reporting purposes. We will then dispose your information by deleting all email and messaging correspondence with you, and erasing any personal information from electronic files, software and documents. All physical documents will be shredded and disposed of safely.
We will keep your financial information for the period of time for which it is required, i.e. for the duration of your contract. Upon the end of your contract, we will immediately delete your information from our accounting software, and from any forms of communication detailing this information. Please refer to your Professional Services Contract for this end date. If you have been set up as a payee for refunding purposes, your bank details will also be deleted from our business banking software.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
